A date.
Booked at least 60 days out. Earlier is better — Saturdays and prime weekday slots fill up first.
A place to park.
Roughly 40 feet of level space — a parking lot, a field edge, anywhere a 34-foot trailer can sit. Asphalt or grass. Self-powered, no outlet required.
A roster.
Athlete names, jersey numbers, team assignments, and parent email addresses — submitted via our CSV template at least two weeks before picture day. We send gallery access codes directly to families.

Download the template, open it in Google Sheets, Excel, or Numbers, fill it in from your existing data, and save or export as a .csv file. Email the completed .csv to booking@thepicturedayrig.com.
Deadline
Roster due 2 weeks before picture day.
We use your roster to generate individual gallery access codes and to have athlete data loaded into the camera system on shoot day. Missing this deadline may result in a rescheduled picture day. If your data changes after submission, send an updated file to the same address.

- How many athletes can you shoot in a day?
- Up to 100 athletes per hour across two simultaneous shooting stations. A 200-athlete league typically wraps in an afternoon. Larger associations can schedule across multiple days — same crew, same studio, same standard.
- What sports do you cover?
- Baseball, softball, football, basketball, volleyball, soccer, and more. If your athletes wear a uniform, we can photograph them.
- What if the weather is bad?
- The rig is self-contained — climate-controlled, self-powered, and weatherproof. Picture day doesn't get rained out because we shoot inside the studio. Outdoor field conditions don't affect us.
- Can we schedule across multiple days for a large association?
- Yes. Multi-day shoots use the same crew and the same studio setup, so lighting and quality are consistent across every session. We coordinate scheduling so different parks or age groups can shoot on separate days.
- How do parents order?
- Orders are captured digitally on-site through gotphoto.com. Parents can also order online after the shoot using an access code. No envelopes, no cash, no order forms to collect.
- What does the agreement look like?
- A single page. It confirms the date, the estimated athlete count, and the cancellation window. No surprise clauses.
- How far in advance should we book?
- Spring season dates (March–May) and fall season dates (August–October) book fast. We recommend reaching out 8–12 weeks ahead. We'll tell you immediately if a date is unavailable.
